Survey the entire route

Trace the path from vehicle access to the final position of each large machine. Measure door openings, corridors, turns, lift openings and internal lift dimensions. Record steps, changes in level and any booking restrictions for shared building access.

Ask the supplier for the delivery format: assembled, partially assembled or crated. Package size and handling requirements can differ from the finished machine dimensions. Have the building and installation teams confirm the proposed route and handling arrangements together.

Agree what ready means

Create a room-readiness list with named owners. Include finished surfaces, an agreed equipment plan, access to required services, and the status of other work in the room. Confirm how the floor and adjacent finishes will be protected during handling.

Manufacturer installation checklists are useful prompts for these conversations. Requirements remain specific to the supplied equipment and project; a checklist from another brand is not an installation instruction for an MBH machine. Obtain the actual manuals and requirements for the ordered models.

Check models and configurations on arrival

Keep the agreed equipment schedule accessible to the receiving team. Match model references, configurations and accessories to the delivery documents. Record visible damage and missing items through the agreed reporting process before packaging is discarded.

If a model has been substituted, pause placement decisions until the change has been reviewed. A different footprint or adjustment arrangement can affect the intended layout even when the machine serves a similar exercise.

Make handover more than a signature

Agree which assembly and operational checks the installer will demonstrate, and who accepts the work. Ask for model manuals, maintenance instructions, serial-number records and the relevant warranty and service contacts.

Give the operations team a clear route for reporting problems. A shared equipment register can identify the machine by reference, serial number and location, making a future service conversation more precise than a photograph alone. Confirm that the team understands which tasks it should perform and which require a technician.

Close the outstanding items

Record any remaining issue, the person responsible and the agreed next action. Keep installation status separate from readiness for guest or member use. Finish with a walk-through of the space and an agreed plan for any unresolved items.
