Write a guest-use scenario

Describe a typical visit from entry to exit. Where does the guest put a towel? Can they understand the room without asking reception? Is there a clear place for a short floor-based session? Would two guests need the same station at the same time?

Discuss this scenario with the hotel operations team. Reception, housekeeping and engineering see different parts of the guest experience and can identify practical issues that an equipment list misses. Cover useful activities before adding variety

Consider the roles the room needs to cover: cardio, pushing and pulling strength movements, lower-body training and open space for mobility or floor work. These are planning categories, not a mandatory equipment package.

An adjustable bench and a carefully chosen free-weight selection may suit some users; an adjustable cable station or selected machines may serve others. Compare what each option allows, how it is adjusted and what instruction or supervision it needs. More functions on a brochure do not automatically make a station easier to use.

Give each selection a complete footprint

In a compact hotel room, equipment storage matters as much as equipment count. Identify where loose accessories return after use, how staff clean around them, and where guests can pass a station that is occupied.

Check the exact model and console configuration before approving a cardio layout. Confirm power requirements, permitted operating conditions and service access from the relevant documentation. Do not assume a socket location or clearance from a photograph of another hotel.

Plan the operating routine

Name the team responsible for opening checks, cleaning, reporting faults and keeping records. Ask the supplier for the maintenance documents and warranty conditions for the proposed models. Agree on how a fault is reported and how unavailable equipment is clearly identified.

For coastal or partially open properties, discuss the actual installation environment with the manufacturer before ordering. Ask for written confirmation that the proposed location and care arrangements suit the equipment. An attractive rendering does not answer that question.

Make the first shortlist easy to review

For each proposed item, record its role, exact model, dimensions, configuration and reason for inclusion. Review the list alongside a scaled plan, then remove overlaps that do not serve your guest brief.

  • Define the guest profile and level of staff support
  • Balance cardio, strength and usable open space
  • Include accessory storage and cleaning access
  • Confirm model-specific installation requirements
  • Agree a maintenance and fault-reporting routine
  • Photograph the finished room honestly once installation is complete
